Operational Excellence Through Healthcare Digitalization in Germany

Challenges

Germany’s healthcare sector has been facing workforce shortages, fragmented processes, and outdated digital infrastructure. For OPSEO Group, with 20+ subsidiaries and 6,000 employees, this meant manual scheduling and payroll created inefficiencies, heavy admin burdens, and low staff satisfaction. These systemic gaps risked not only financial sustainability and regulatory compliance, but also the quality of patient care. The core challenge was to move from fragmented, manual operations to a scalable, future-ready digital model.

Approach

SILREAL served as the Project Management Office (PMO) to guide OPSEO Group through the nationwide rollout of a digital duty scheduling and payroll system. By combining process analysis, stakeholder alignment, and risk management, the project ensured a smooth transition from manual workflows to an integrated, scalable digital platform.

  • Process Analysis & Optimization: Conducted a thorough review of existing scheduling and payroll workflows across 20+ subsidiaries. Identified inefficiencies, redundancies, and compliance risks, then redesigned processes to improve accuracy, transparency, and scalability.

  • Stakeholder Coordination: Acted as the central interface between OPSEO’s executive leadership, subsidiaries, and the external IT software provider. Ensured alignment on scope, priorities, and responsibilities across all levels of the organization.

  • Rollout & Implementation Support: Oversaw the staged deployment of a web-based and mobile duty scheduling application integrated with payroll and time recording. Provided subsidiaries with hands-on training, documentation, and onboarding support to secure adoption.

  • Project Governance & Reporting: Established project control structures, monitored progress, and provided management reporting to the CEO and executive team. This ensured transparency, risk mitigation, and informed decision-making throughout the rollout.

  • Risk & Contract Management: Conducted risk assessments to address potential system, compliance, and workforce challenges. Supported OPSEO in contract negotiations with third-party software vendors to safeguard long-term operational reliability.
